Administrative Assistant - (Calgary, AB)

We are currently seeking a Full-Time Administrative Assistant to join our team at our Calgary, Albert Base.

This position reports to the Executive Vice President and is an integral part of our team. If you enjoy working in a fast-paced environment where every day is different than the one before, you have previous administrative support experience, you are organized, able to manage priorities, and work independently, this may be the opportunity you have been looking for!

Responsibilities

  • Perform a broad range of aviation administrative duties in support of the management team

  • Use word processing, desktop publishing, spreadsheets, databases, or presentation software to prepare invoices, reports, memos, letters, financial statements, and other documents as assigned.

  • Organize meetings, including preparation of agendas and recording minutes.

  • Open, sort, and distribute correspondence, including faxes and emails

  • Schedule and manage appointments, travel, and meetings using electronic calendar systems

  • Prepare expense reports and develop or maintain a records management system, including classifying and coding electronic and hardcopy files

  • Use specialized software to create forms

  • Perform database assistant duties including but not limited to:

    o Database and record-keeping support

    o Data management by collecting data from a variety of sources, organizing and entering the data accurately

    o Quality control duties carried out by checking databases for changes and errors, proceeding with making corrections, as needed.

    o Reporting and documentation generation from the database and other sources

    o Database training of other users on the general use of the database

  • Research information on the internet, prepare intranet documents and assist in the maintenance of the company website

  • Support the administrative purchasing processes

  • Manage projects and events

Job Requirements and Qualifications

  • A minimum of three years experience in a similar role

  • Post-secondary education in Business Administration would be an asset

  • Excellent technical writing and verbal communication skills

  • Proficient in Microsoft Word and Excel at least at an intermediate level (preference given to those with advanced level training or work experience)

  • Experience in establishing and maintaining databases

  • Attention to detail is critical

  • Well organized with the ability to work independently

  • A positive attitude with the ability to be flexible
